Job Description

Beachfront Vipingo is seeking an accomplished Human Resource & Administration Manager to provide strategic leadership for all people management and administrative functions across the organization. This position offers an exciting opportunity for an experienced human resource professional to shape a high-performing workplace culture while supporting business growth within a dynamic hospitality environment. The successful candidate will serve as a trusted advisor to senior management, ensuring that every stage of the employee lifecycle is managed professionally, ethically, and in compliance with Kenyan employment legislation. Working closely with departmental leaders, the role focuses on building a productive workforce through effective talent acquisition, employee engagement, leadership development, workforce planning, policy implementation, and performance management initiatives that align with the company's long-term objectives. The Human Resource & Administration Manager will also oversee administrative operations that contribute to organizational efficiency, ensuring that internal systems, documentation, employee records, and workplace procedures operate seamlessly. This position requires the ability to balance strategic planning with day-to-day operational execution while fostering a positive work environment where employees feel respected, supported, and motivated to perform at their highest potential. The successful candidate will champion initiatives that strengthen employee well-being, promote continuous learning, encourage diversity and inclusion, and develop future leaders through structured succession planning. In addition, the role will provide oversight of payroll coordination, statutory compliance, occupational safety practices, disciplinary procedures, grievance resolution, and HR reporting while maintaining strict confidentiality of employee information. As a member of the leadership team, the Human Resource & Administration Manager will collaborate with department heads to identify workforce requirements, optimize organizational structures, improve retention strategies, and implement modern HR practices that enhance service delivery across the business. Key Responsibilities

  • Provide strategic leadership for the Human Resource and Administration Department while supporting the achievement of organizational goals and business priorities.
  • Design, implement, evaluate, and continuously improve human resource strategies that support operational excellence and sustainable growth.
  • Lead end-to-end recruitment activities including workforce planning, job analysis, advertising vacancies, interviewing candidates, reference verification, selection, onboarding, and probation management.
  • Develop innovative talent acquisition initiatives that attract qualified professionals with the right skills, values, and cultural fit.
  • Supervise the Human Resource Officer, Training Officer, and Administrative Assistant while promoting accountability, collaboration, and continuous professional development.
  • Establish and manage an effective performance management framework that encourages productivity, transparency, and measurable employee outcomes.
  • Coordinate annual performance reviews, objective setting, coaching sessions, and employee development discussions.
  • Develop succession planning programs that identify high-potential employees and prepare future organizational leaders.
  • Promote employee engagement through recognition programs, communication initiatives, wellness activities, and workplace improvement projects.
  • Build positive employee relations by resolving workplace concerns fairly, professionally, and confidentially.
  • Manage disciplinary investigations, hearings, corrective actions, and grievance procedures while observing legal requirements and procedural fairness.
  • Provide expert guidance to management on employment legislation, HR policies, and employee relations matters.
  • Review, update, communicate, and enforce organizational HR policies, procedures, and operational guidelines.
  • Coordinate employee orientation programs that facilitate successful integration into the organization.
  • Conduct training needs assessments and implement annual learning and development plans.
  • Organize internal and external training programs that strengthen employee competencies and leadership capability.
  • Monitor employee attendance, leave management, contract administration, and personnel records with accuracy.
  • Oversee payroll input preparation while ensuring accuracy of statutory deductions, employee benefits, and compensation records.
  • Maintain confidential HR databases and ensure compliance with data protection requirements.
  • Prepare workforce reports, HR metrics, and management presentations for strategic decision-making.
  • Monitor staff turnover trends and recommend effective employee retention initiatives.
  • Coordinate occupational health, workplace safety, and employee wellness activities.
  • Ensure full compliance with Kenyan labour legislation, statutory regulations, and organizational governance requirements.
  • Develop HR budgets and monitor departmental expenditure responsibly.
  • Support organizational restructuring, change management initiatives, and business transformation projects.
  • Collaborate with departmental managers to resolve workforce planning challenges.
  • Strengthen organizational culture through fairness, integrity, diversity, inclusion, and professional ethics.
  • Represent the Human Resource department during internal meetings, audits, and regulatory inspections whenever required.
  • Identify opportunities for process improvement through HR technology and digital transformation initiatives.
  • Perform additional management responsibilities assigned by the General Manager in support of organizational objectives.

Qualifications & Requirements

  • The ideal candidate should possess a Bachelor's Degree in Human Resource Management, Business Administration, Commerce, or another closely related discipline from a recognized university. Applicants must hold a valid Certified Human Resource Professional of Kenya (CHRP
  • K) qualification and maintain active membership with the Institute of Human Resource Management (IHRM) in good standing. A minimum of seven years of progressive professional experience in Human Resource Management within the hospitality industry is essential, including significant exposure to strategic HR leadership and administration. Candidates should demonstrate comprehensive knowledge of Kenyan labor legislation, employment regulations, payroll coordination, statutory compliance, performance management, recruitment, employee engagement, industrial relations, learning and development, succession planning, organizational development, compensation administration, policy formulation, and workplace investigations. Strong leadership capabilities with proven experience supervising multidisciplinary teams are required.
