Key Responsibilities
- Coordinate the preparation, review, and implementation of teaching timetables in consultation with relevant academic departments and the Directorate of Teaching Programmes.
- Ensure teaching schedules are properly customized to meet the operational needs of the Kisii ODEL Centre.
- Monitor daily implementation of approved teaching timetables and verify that scheduled classes are conducted as planned.
- Conduct routine physical classroom visits to confirm lecturer attendance, punctuality, and adherence to assigned teaching schedules.
- Monitor online teaching sessions using approved digital learning platforms where applicable.
- Record lecturer attendance accurately using approved monitoring tools and institutional procedures.
- Verify student attendance for both physical and online learning sessions while maintaining complete attendance records.
- Maintain accurate biometric attendance information for students attending physical classes.
- Capture, organize, validate, and update attendance data in institutional databases while ensuring consistency and accuracy.
- Prepare comprehensive daily, weekly, monthly, and periodic monitoring reports for submission to the Directorate of Teaching Programmes and Centre Management.
- Identify operational challenges affecting teaching delivery and promptly communicate findings to relevant university offices.
- Escalate attendance irregularities, timetable conflicts, lecturer absenteeism, delayed sessions, and related concerns through the appropriate reporting channels.
- Maintain confidential records relating to monitoring activities, attendance registers, lecturer schedules, and institutional documentation.
- Support lecturers by providing accurate information regarding approved teaching schedules and reporting requirements.
- Assist students with enquiries relating to class schedules, attendance procedures, and academic monitoring activities.
- Coordinate lecturer clock-in and clock-out schedules in accordance with approved institutional guidelines.
- Process lecturer attendance documentation required for claims verification and payment procedures.
- Review lecturer claim documentation for completeness before submission to the responsible offices.
- Ensure monitoring records are properly filed and readily accessible for audits and quality assurance reviews.
- Generate accurate statistical reports supporting institutional planning and academic performance evaluation.
- Participate in continuous quality improvement initiatives aimed at enhancing teaching effectiveness.
- Support compliance with university academic policies, operational procedures, and quality standards.
- Collaborate with Centre Management during internal reviews, inspections, and monitoring exercises.
- Ensure proper utilization of monitoring equipment and institutional information systems.
- Maintain professionalism, confidentiality, and impartiality when handling institutional information.
- Recommend practical improvements that enhance operational efficiency within the Centre.
- Assist in implementing new monitoring procedures introduced by the University.
- Maintain effective communication with academic departments, lecturers, students, and administrative units.
- Ensure timely submission of all required monitoring reports without compromising data quality.
- Contribute positively to a collaborative, service-oriented, and accountable working environment.
- Perform additional responsibilities assigned by the Centre Coordinator or other authorized University officials in support of institutional objectives.
Qualifications & Requirements
- Bachelor's degree in a relevant field from a recognized and accredited institution.
- Minimum of two (2) years' relevant professional experience in a comparable administrative or monitoring position within a recognized institution.
- Sound understanding of academic administration and higher education operations.
- Strong organizational and time management skills.
- Excellent analytical and problem

- Strong report writing and documentation skills.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
