Key Responsibilities
- Support the organization, classification, filing, and indexing of official records in accordance with approved records management procedures.
- Maintain both physical and electronic filing systems to ensure efficient storage and retrieval of institutional documents.
- Assist in receiving, registering, sorting, and distributing incoming correspondence to relevant offices.
- Participate in the digitization of records to enhance electronic document management and long-term preservation.
- Monitor document movement through established tracking systems and maintain accurate movement registers.
- Ensure confidential information is handled securely and in accordance with data protection and organizational policies.
- Assist in maintaining accurate records inventories and updating records databases regularly.
- Support records appraisal, retention scheduling, and disposal processes under supervisory guidance.
- Help retrieve files and information requested by authorized officers within agreed timelines.
- Prepare files for archival storage and assist in records preservation initiatives.
- Participate in registry operations and ensure documents are properly organized for easy accessibility.
- Assist in maintaining document security and preventing unauthorized access to sensitive information.
- Support implementation of records management standards and quality assurance procedures.
- Maintain accurate logs of file circulation and document transactions.
- Assist in compiling statistical reports relating to registry operations and records management activities.
- Support compliance with institutional policies governing documentation and information governance.
- Participate in continuous improvement initiatives aimed at enhancing registry efficiency.
- Assist in identifying missing, damaged, or misplaced records and support corrective actions.
- Collaborate with supervisors to improve filing accuracy and records organization.
- Support administrative teams by providing requested records promptly and professionally.
- Participate in departmental meetings, training sessions, and mentorship activities.
- Assist with inventory management of registry supplies and office documentation materials.
- Maintain professional relationships with colleagues, court users, and other stakeholders.
- Observe confidentiality, integrity, and ethical standards while performing assigned duties.
- Utilize computer applications for document management, data entry, and records processing.
- Support implementation of electronic records management systems where applicable.
- Ensure proper labeling and categorization of files according to institutional guidelines.
- Perform routine verification of records for completeness and accuracy.
- Assist in preparing reports requested by supervisors regarding records management performance.
- Carry out any other lawful duties assigned by the designated supervisor or mentor in support of Judiciary operations.
Qualifications & Requirements
- Applicants should possess a bachelor's degree in information science and Records Management obtained from a recognized institution. Candidates must demonstrate sound theoretical knowledge of records management principles, information organization, archives administration, documentation procedures, and information governance practices. Proficiency in computer applications, including word processing, spreadsheets, electronic document management systems, and digital communication tools, is essential. Applicants should possess excellent written and verbal communication skills, strong organizational ability, attention to detail, and the capacity to manage multiple assignments accurately within specified timelines. The successful candidate should demonstrate high ethical standards, honesty, confidentiality, professionalism, accountability, and commitment to public service. - motivated, capable of working independently with minimal supervision, and able to collaborate effectively with multidisciplinary teams. Applicants must satisfy the requirements of Chapter Six of the Constitution of Kenya, be willing to serve in any Judiciary station within the country and should not have previously participated in a government internship program. The internship is open to unemployed Kenyan graduates aged between 18 and 35 years who have not gained relevant work experience in their field of study during the previous two years.
