Job Description

The Judicial Service Commission (JSC) is inviting applications from motivated, disciplined, and career-focused young Kenyans for the Office Administration (Secretarial Services) Diploma Internship Programme. This structured internship is designed to provide recent diploma graduates with practical workplace exposure in Kenya's Judiciary while strengthening their professional competencies in office administration, secretarial support, records management, and public service operations. The internship provides an exceptional opportunity for individuals seeking to bridge the gap between academic learning and professional employment. Successful candidates will gain valuable hands-on experience by working alongside experienced judicial officers, administrators, and departmental teams within various Court Stations, Tribunals, Directorates, and Departments across the country. Throughout the programme, interns will receive mentorship, workplace guidance, and practical assignments that enhance their understanding of modern administrative procedures and public sector service delivery. Interns will actively participate in supporting administrative functions that contribute to the efficient operation of judicial institutions. The role offers exposure to document management, office coordination, customer service, records administration, scheduling activities, correspondence handling, filing systems, digital office technologies, and other essential administrative processes. This practical environment enables interns to develop organizational discipline, professional ethics, confidentiality, communication abilities, and problem-solving skills while contributing positively to institutional objectives. This twelve-month, non-renewable internship targets unemployed Kenyan diploma graduates between the ages of 18 and 35 years who have not previously gained substantial work experience related to their area of study during the past two years. Applicants must also be willing to serve in any Judiciary station within the Republic of Kenya as determined by operational requirements. The programme provides a monthly gross stipend to facilitate participation throughout the internship period. Interns will work under the supervision of designated mentors who will monitor performance, provide professional guidance, and support continuous skills development throughout the attachment period. Key Responsibilities

  • Provide professional administrative and secretarial support to assigned departments, court stations, tribunals, or directorates.
  • Receive, organize, record, and distribute official correspondence accurately and within established timelines.
  • Prepare office documents including letters, reports, memoranda, schedules, and meeting materials using appropriate office software.
  • Maintain organized filing systems for both electronic and physical records while ensuring document confidentiality.
  • Assist in updating administrative registers, databases, inventories, and departmental records.
  • Schedule appointments, meetings, interviews, and official activities for supervisors as assigned.
  • Coordinate meeting logistics, prepare agendas, circulate documents, and record meeting minutes where required.
  • Welcome visitors professionally and provide accurate information while maintaining excellent customer service standards.
  • Respond to telephone calls, emails, and official inquiries courteously and efficiently.
  • Assist in managing incoming and outgoing mail, parcels, and official documentation.
  • Support records management activities by ensuring documents are correctly classified, archived, and retrieved when required.
  • Operate office equipment including computers, printers, scanners, photocopiers, and other administrative technologies.
  • Maintain confidentiality when handling sensitive institutional information and official records.
  • Assist in preparing departmental reports, presentations, and statistical summaries.
  • Monitor office stationery levels and support inventory management processes.
  • Participate in organizing workshops, training sessions, conferences, and official Judiciary events.
  • Support implementation of administrative procedures that improve operational efficiency.
  • Collaborate effectively with supervisors, colleagues, and other departments to achieve organizational objectives.
  • Ensure assigned duties comply with government regulations, institutional policies, and administrative guidelines.
  • Assist in maintaining orderly office environments that promote productivity and professionalism.

Qualifications & Requirements

  • Applicants should possess a Diploma in Management and Office Administration or an equivalent qualification from a recognized institution. Candidates must demonstrate proficiency in computer applications including Microsoft Word, Excel, PowerPoint, Outlook, and other standard office productivity tools.
