Key Responsibilities
- Support procurement officers in implementing approved procurement plans and departmental purchasing activities.
- Assist in preparing procurement documentation while ensuring completeness and compliance with established procedures.
- Maintain accurate procurement records, supplier files, and inventory documentation for easy retrieval.
- Participate in receiving, verifying, and recording goods delivered by approved suppliers.
- Assist with stock monitoring and inventory reconciliation exercises to promote accountability.
- Support stores management activities including proper storage, labeling, and movement of inventory items.
- Help organize procurement files, quotations, tender documents, and contract records according to institutional requirements.
- Participate in supplier communication under the guidance of designated procurement officers.
- Assist in preparing purchase requisitions, local purchase orders, and related procurement documentation.
- Support data entry and updating of procurement information within approved information management systems.
- Help monitor stock levels and report shortages requiring replenishment.
- Participate in periodic stock-taking and physical verification of inventory.
- Assist in maintaining asset movement registers and inventory tracking records.
- Observe compliance with applicable procurement laws, regulations, and organizational policies.
- Support contract administration activities by maintaining organized documentation.
- Assist in preparing routine procurement reports and inventory summaries for internal review.
- Work closely with finance, administration, and user departments during procurement processes.
- Maintain confidentiality when handling procurement records and official documentation.
- Participate in departmental meetings, mentorship sessions, and workplace learning activities.
- Support quality assurance initiatives aimed at improving procurement efficiency.
- Help identify opportunities for improving inventory management and document organization.
- Ensure procurement documents are filed systematically for audit readiness.
- Assist in monitoring delivery schedules and supplier performance where assigned.
- Participate in preparing inventory issue vouchers and goods receipt documentation.
- Promote responsible utilization of organizational resources.
- Demonstrate professionalism, punctuality, and accountability throughout the internship period.
- Maintain positive working relationships with supervisors, colleagues, and stakeholders.
- Apply computer applications effectively while carrying out assigned administrative duties.
- Follow occupational safety procedures applicable within assigned workstations.
- Perform additional procurement and administrative assignments as directed by the designated supervisor or mentor to support operational efficiency and institutional objectives.
Qualifications & Requirements
- Applicants should possess a Diploma in Supply Chain Management, Procurement, or an equivalent qualification obtained from a recognized institution. Candidates must be Kenyan citizens aged between 18 and 35 years, unemployed, and should not have gained relevant work experience in their field of study within the previous two years. Applicants must also not have participated in any previous Government internship program and should be willing to accept deployment to any Court Station, Directorate, Tribunal, or Department across Kenya.
- The ideal candidate should demonstrate proficiency in computer applications, particularly Microsoft Office and other productivity tools used in administrative environments. Strong written and verbal communication abilities are essential together with sound interpersonal skills that support collaboration in diverse workplace settings. Applicants should display integrity, professionalism, accountability, confidentiality, and a commitment to ethical conduct consistent with public service values. Good organizational skills, attention to detail, analytical thinking, problem
- solving ability, adaptability, and willingness to learn are highly desirable. Candidates should be capable of working independently when required while contributing effectively within multidisciplinary teams. A positive attitude, reliability, respect for deadlines, customer service orientation, and the ability to handle official information responsibly will be considered valuable attributes.
