Responsibilities for Accountant I (Grade AD12) – One (1) Position in Kenya
- The Accountant I at Kibabii University will undertake a comprehensive range of financial and accounting responsibilities designed to strengthen efficiency, accountability, and compliance within the University’s financial management framework. The role requires a proactive and detail-oriented professional capable of managing multiple accounting functions while ensuring adherence to government regulations, International Public Sector Accounting Standards (IPSAS), and institutional policies.
- A key responsibility of the Accountant I will be to implement and enforce financial policies, regulations, and procedures in alignment with established government guidelines and University standards. This includes ensuring that all financial transactions are conducted in accordance with approved processes and that internal controls are consistently applied to safeguard institutional resources.
- The role involves coordinating management accounting activities, including the preparation of periodic financial statements, management reports, and budget performance reports. The Accountant I will be responsible for ensuring that financial reports are accurate, complete, and submitted within stipulated timelines to support effective decision-making by management and other stakeholders.
- In addition, the Accountant I will oversee the implementation and monitoring of financial control systems to ensure compliance with established accounting standards. This includes reviewing accounting systems and processes to enhance efficiency, accuracy, and transparency. The position also entails authorizing payments within prescribed limits, ensuring that all disbursements are properly approved and supported by relevant documentation.
- The successful candidate will coordinate the preparation of financial and accounting work plans, annual budgets, and expenditure forecasts. They will also consolidate and monitor cash flow projections to ensure optimal utilization of financial resources and to support strategic planning initiatives. Monitoring budget performance and ensuring expenditures remain within approved limits will be a critical aspect of the role.
- The Accountant I will be responsible for maintaining accurate and up-to-date financial records, including ledgers, journals, and supporting documentation. This includes overseeing invoicing processes, ensuring proper accounting for all revenue streams, and reconciling creditors and debtors’ accounts to maintain data integrity. The role also involves facilitating payroll processing to ensure timely and accurate payment of staff salaries and related benefits.
- Furthermore, the position requires maintaining an updated inventory of all University bank accounts and authorized signatories, as well as monitoring inventory transactions to ensure proper recording and control. The Accountant I will also supervise the maintenance of fixed asset registers, ensuring proper asset tracking, valuation, and compliance with asset management policies.
- The role extends to providing technical interpretation of financial policies and procedures to staff and management, thereby promoting compliance and enhancing financial literacy within the institution. The Accountant I will also contribute to the preparation of both management and statutory financial reports, ensuring adherence to reporting standards and regulatory requirements.
