Responsibilities for Cashier in Kenya

• The Cashier will be responsible for managing all payment transactions within the hospital environment while maintaining accurate financial records and ensuring compliance with hospital policies and financial regulations. The role requires careful attention to detail, strong organizational skills, and the ability to work efficiently in a busy healthcare setting.
• One of the primary responsibilities of the Cashier is to receive and process payments from patients and clients using various payment methods such as cash, debit or credit cards, mobile money services, and insurance co-payments. The Cashier must ensure that each transaction is recorded correctly and that official receipts are issued immediately to maintain transparency and accountability.
• The Cashier will verify patient billing details before accepting payment to ensure that the services listed correspond with the charges in the hospital system. In cases where discrepancies arise, the Cashier will coordinate with the billing department to resolve the issue before completing the transaction. Accurate posting of payments into the Hospital Management Information System (HMIS) is essential to maintain updated financial records and ensure proper tracking of patient accounts.
• At the end of each working shift, the Cashier will reconcile all collected payments with system-generated reports and prepare a daily cash summary for submission to the Finance Department. This reconciliation process ensures that the cash on hand matches recorded transactions and helps prevent errors or discrepancies in financial reporting.
• The Cashier will also be responsible for safeguarding all cash, cheques, and payment devices such as point-of-sale machines. Maintaining proper security measures is critical to prevent financial losses, fraud, or theft. Additionally, the role may involve managing petty cash transactions and maintaining proper records for accountability.
• Other responsibilities include assisting with financial documentation required for audits, responding to patient inquiries related to billing or payments, and maintaining strict confidentiality of patient information. The Cashier must consistently adhere to hospital financial policies, internal control procedures, and regulatory standards to ensure compliance and maintain the integrity of the hospital’s financial operations.
