Key Responsibilities
- Welcome guests, trainees, conference participants, and visitors in a professional, friendly, and courteous manner while creating a positive first impression of the institution.
- Register arriving guests accurately and efficiently while verifying reservation details and maintaining complete guest records.
- Process guest departures by preparing final bills, confirming payments, issuing receipts, and ensuring a smooth checkout experience.
- Receive cash, electronic payments, mobile money transactions, and other approved payment methods in accordance with institutional financial procedures.
- Balance daily cash collections and prepare accurate cashier reports for submission to finance and supervisory officers.
- Maintain accurate guest accounts and ensure all financial transactions are properly documented and reconciled.
- Respond promptly to guest inquiries regarding accommodation, conference services, dining facilities, and institutional amenities.
- Coordinate room allocation while ensuring accommodation schedules are updated and occupancy records remain accurate.
- Operate computerized reservation and front office management systems efficiently.
- Maintain confidentiality of guest information and institutional records at all times.
- Resolve guest concerns professionally and escalate complex matters to supervisors where necessary.
- Coordinate closely with housekeeping teams to ensure rooms are prepared before guest arrivals.
- Liaise with maintenance personnel to report facility defects requiring immediate attention.
- Work collaboratively with catering staff to facilitate conference and accommodation services.
- Ensure reception areas remain clean, organized, welcoming, and professionally presented.
- Prepare daily occupancy reports and front office operational summaries.
- Monitor reservation schedules and communicate changes to relevant departments.
- Verify supporting documents for institutional accommodation bookings.
- Maintain accurate inventory records for reception supplies and report replenishment requirements.
- Assist visitors by providing clear directions and relevant institutional information.
- Handle telephone calls professionally and transfer inquiries to appropriate offices.
- Receive official correspondence and ensure timely delivery to designated departments.
- Support conference registration activities during institutional events.
- Observe institutional financial regulations and internal control procedures.
- Maintain proper filing systems for guest records and financial documentation.
- Ensure compliance with customer service standards and hospitality best practices.
- Identify opportunities to improve guest satisfaction and operational efficiency.
- Participate in periodic stock verification exercises where assigned.
- Prepare shift handover reports containing important operational information.
- Maintain professionalism during high guest volumes and peak operational periods.
- Support implementation of institutional health, safety, and security procedures.
- Report suspicious activities or security concerns immediately.
- Maintain excellent working relationships with colleagues across departments.
- Participate in departmental meetings, training sessions, and professional development activities.
- Demonstrate honesty, accountability, punctuality, and commitment to public service values.
- Perform any other hospitality and front office responsibilities assigned by authorized supervisors in support of institutional objectives.
Qualifications & Requirements
- Kenya Certificate of Secondary Education (KCSE) with a Mean Grade D (Plain) or its recognized equivalent.
- Demonstrated proficiency in computer applications.
- Proven merit, competence, and consistent work performance.
- Strong knowledge of front office reception procedures.
- Practical experience in cashiering and financial transaction handling.
- Excellent customer care and guest relations skills.
- Strong communication and interpersonal abilities.
