Key Responsibilities

  • Retrieve files promptly upon authorized request while maintaining complete tracking records.
  • Support document indexing activities to improve information accessibility and retrieval efficiency.
  • Assist with digitizing paper records using approved scanning and electronic document management procedures.
  • Verify the accuracy, completeness, and proper classification of archived records.
  • Update document registers, inventory logs, and records databases with current information.
  • Maintain organized archive rooms to ensure safe preservation of institutional documents.
  • Monitor file movement and maintain accurate document circulation records.
  • Ensure confidential records remain secure and accessible only to authorized personnel.
  • Assist in implementing document retention and disposal schedules according to organizational guidelines.
  • Support records verification exercises during internal and external audits.
  • Prepare files required for departmental meetings, reviews, inspections, and compliance activities.
  • Assist in identifying damaged, misplaced, or incomplete files requiring corrective action.
  • Help improve filing structures to increase operational efficiency and reduce retrieval time.
  • Participate in administrative support activities assigned by supervisors.
  • Maintain accurate digital backups where applicable under organizational procedures.
  • Report discrepancies, missing files, or documentation concerns promptly.
  • Observe organizational information security policies during every stage of document handling.
  • Support continuous improvement initiatives related to records administration processes.

Qualifications & Requirements

  • Diploma in Records Management, Information Management, Archives Administration, Library and Information Science, Business Administration, or another closely related discipline.
  • Recent graduate or continuing student eligible to undertake an internship.
  • Demonstrated understanding of records organization principles is an added advantage.
  • Good written and verbal communication skills.
  • Strong computer literacy including Microsoft Office applications.
  • Ability to work accurately with both electronic and paper
  • based documentation.
  • Excellent organizational and time management abilities.
  • High level of integrity and personal accountability.
  • Ability to handle confidential information with professionalism.
  • Willingness to learn and adapt to organizational procedures.
