Key Responsibilities
- Organize and classify both physical and electronic institutional records according to established filing procedures.
- Receive, register, label, and accurately file incoming documents within designated record management systems.
- Retrieve files promptly upon authorized request while maintaining complete tracking records.
- Support document indexing activities to improve information accessibility and retrieval efficiency.
- Assist with digitizing paper records using approved scanning and electronic document management procedures.
- Verify the accuracy, completeness, and proper classification of archived records.
- Update document registers, inventory logs, and records databases with current information.
- Maintain organized archive rooms to ensure safe preservation of institutional documents.
- Monitor file movement and maintain accurate document circulation records.
- Ensure confidential records remain secure and accessible only to authorized personnel.
- Assist in implementing document retention and disposal schedules according to organizational guidelines.
- Support records verification exercises during internal and external audits.
- Prepare files required for departmental meetings, reviews, inspections, and compliance activities.
- Assist in identifying damaged, misplaced, or incomplete files requiring corrective action.
- Help improve filing structures to increase operational efficiency and reduce retrieval time.
- Participate in administrative support activities assigned by supervisors.
- Maintain accurate digital backups where applicable under organizational procedures.
- Report discrepancies, missing files, or documentation concerns promptly.
- Observe organizational information security policies during every stage of document handling.
- Support continuous improvement initiatives related to records administration processes.
- Maintain clean, orderly, and well-labeled filing environments.
- Collaborate effectively with colleagues across multiple departments.
- Respond professionally to internal requests for authorized documentation.
- Demonstrate accountability, punctuality, and commitment throughout the internship.
- Complete assigned duties within agreed timelines while maintaining exceptional attention to detail.
- Follow institutional procedures, ethical standards, and administrative policies at all times.
- Participate actively in orientation sessions, departmental meetings, and workplace training opportunities.
- Learn new records management technologies and apply acquired knowledge effectively.
- Maintain professionalism, integrity, and confidentiality in every assigned responsibility.
- Perform additional records management and administrative duties as assigned by management.
Qualifications & Requirements
- Diploma in Records Management, Information Management, Archives Administration, Library and Information Science, Business Administration, or another closely related discipline.
- Recent graduate or continuing student eligible to undertake an internship.
- Demonstrated understanding of records organization principles is an added advantage.
- Good written and verbal communication skills.
- Strong computer literacy including Microsoft Office applications.
- Ability to work accurately with both electronic and paper
- based documentation.
- Excellent organizational and time management abilities.
- High level of integrity and personal accountability.
- Ability to handle confidential information with professionalism.
- Willingness to learn and adapt to organizational procedures.
