Responsibilities for Legal Clerk III in Kenya
- The duties and responsibilities of the Legal Clerk III will include, but will not be limited to, the following:
- Reviewing legal files and retrieving documents required for ongoing legal processes, administrative actions, and court-related matters to ensure that legal officers have timely access to relevant information.
- Opening, labeling, and maintaining legal files in accordance with established records management procedures and documentation standards to ensure proper organization and easy retrieval of legal documents.
- Preparing, organizing, and serving court documents as directed by legal officers or authorized personnel while ensuring compliance with court procedures and timelines.
- Photocopying, scanning, printing, and reproducing legal documents to support legal proceedings, official documentation requirements, and internal departmental use.
- Receiving, recording, and dispatching legal correspondence to relevant departments, courts, law firms, government institutions, and other stakeholders while maintaining accurate records of all incoming and outgoing communication.
- Filing contracts, agreements, court pleadings, and other legal documents systematically to ensure proper documentation, safe custody, and easy access whenever needed.
- Maintaining accurate registers, logs, and tracking systems for legal files, correspondence, and legal documentation to support efficient file management and monitoring.
- Assisting legal officers in organizing documents required for court proceedings, legal consultations, meetings, and official reviews conducted by the Legal Directorate.
- Ensuring safe custody, security, and confidentiality of sensitive legal records and documents handled within the Directorate in accordance with institutional policies and legal requirements.
- Supporting the preparation and compilation of legal reports, summaries, and document bundles required for legal reviews, internal consultations, and court submissions.
- Coordinating with internal departments to obtain documents, evidence, or information required for legal matters involving the Authority.
- Monitoring the movement of legal files and ensuring they are returned, updated, and properly archived after use.
- Assisting in maintaining an organized and efficient filing and document management system within the Legal Directorate.
- Supporting compliance with institutional policies, legal procedures, and records management standards applicable to the Authority.
- Performing any other duties as may be assigned by the Legal Clerk II or other authorized officers in support of the Authority’s legal operations.
