The Kenya National Bureau of Statistics (KNBS) is a State Corporation established vide an Act of Parliament - The Statistics Act No. 4 of 2006. The mandate of KNBS is anchored on the āConstitution of Kenya 2010ā. The KNBS is the Principal Agency of the Government for collecting, analyzing and disseminating statistical data in Kenya and the custodian of official statistical information and is also responsible for the co-ordination of the National Statistical System (NSS).

The Accounts Assistant at the Kenya National Bureau of Statistics (KNBS) provides essential financial support to ensure accurate, timely, and efficient management of financial records, transactions, and reporting. This role is critical in maintaining the integrity of KNBSās financial operations, supporting budgeting, expenditure tracking, and compliance with national accounting standards and public sector regulations.
Key responsibilities include assisting in the preparation, recording, and reconciliation of financial transactions such as payments, receipts, invoices, and bank statements. The Accounts Assistant supports the accounts team in maintaining ledgers, journals, and other accounting records, ensuring that all entries are accurate, complete, and properly documented. They are responsible for verifying the accuracy of supporting documents, reconciling discrepancies, and flagging issues to senior finance officers for resolution.
The role also involves preparing periodic financial reports, summaries, and schedules for management review, audits, and regulatory compliance. The Accounts Assistant participates in monitoring and tracking expenditures against approved budgets, ensuring that all financial activities are within authorized limits and conform to KNBS policies and procedures.
In addition, the Accounts Assistant may assist in processing payroll, preparing payment vouchers, and maintaining records of employee allowances, reimbursements, and benefits. They are expected to adhere to financial controls, safeguard assets, and ensure that all financial transactions are properly authorized and recorded.
The Accounts Assistant works closely with other KNBS departments to facilitate smooth financial operations, providing timely information and support for planning, procurement, and project management. They also help in preparing documents and supporting materials for internal and external audits, ensuring compliance with statutory requirements and best practices in public finance management.

i. Preparing payment and surrender vouchers in accordance with KNBS procedures to facilitate timely and accurate disbursement of funds.
ii. Filing and maintaining accounting support documents, including invoices, receipts, and financial statements, to ensure proper record-keeping and easy retrieval during audits and reviews.
iii. Managing surrender vouchers by verifying completeness, accuracy, and adherence to financial guidelines, ensuring that funds disbursed are properly accounted for and reconciled.
iv. Processing imprests for field officers, staff, and project activities, ensuring compliance with organizational policies and timely reimbursement of advances.
v. Drawing receipt vouchers for refund of cash by imprest holders, accurately recording and tracking returned funds to maintain accountability.
vi. Managing petty cash transactions, including disbursement, recording, and reconciliation, to ensure that small operational expenses are properly documented and accounted for.
vii. Posting entries in the vote book, ensuring that all financial transactions are correctly recorded against relevant budget codes and reflecting the true financial position of the organization.
viii. Capturing the Appropriation in Aid (AIA) revenue on a daily basis, verifying amounts, and updating financial records to ensure that all revenue streams are properly recorded and monitored.
ix. Assisting in the preparation of periodic financial reports, summaries, and statements for management review, planning, and decision-making purposes.
x. Supporting internal and external audits by providing documentation, explanations, and reconciliations as required to demonstrate compliance with financial regulations.
xi. Undertaking any other duties lawfully assigned by supervisors, including participating in financial control reviews, training, or special projects, to strengthen KNBSās financial management and accountability systems.
