Key Responsibilities
- Support the day-to-day administration of the KRA Staff Pension Scheme in accordance with the Trust Deed, Scheme Rules, approved policies, retirement benefits legislation, and regulatory requirements.
- Maintain complete, accurate, and up-to-date pension records for active members, deferred members, retirees, dependents, beneficiaries, and post-retirement medical beneficiaries.
- Receive, verify, organize, and update member information while ensuring data integrity and confidentiality at all stages of record management.
- Process retirement benefit applications accurately within established service timelines.
- Review pension benefit calculations to ensure correctness before approval and payment.
- Verify contribution histories, service periods, salary information, and supporting employment records for benefit determination.
- Prepare pension documentation required for retirement processing, survivor benefits, withdrawal benefits, and other approved benefit categories.
- Validate pension payroll amendments and ensure that changes are processed accurately.
- Support the timely payment of retirement benefits to eligible members and beneficiaries.
- Assist in administering trust funds established for minors and legally recognized beneficiaries in accordance with approved governance procedures.
- Reconcile pension contributions, member records, benefit payments, and financial reports with relevant departments and appointed service providers.
- Identify discrepancies in pension records and coordinate corrective action promptly.
- Maintain secure filing systems for physical and electronic pension documentation.
- Ensure proper archiving and retrieval of historical pension records whenever required.
- Respond professionally to enquiries from members, retirees, dependents, beneficiaries, and other stakeholders regarding pension matters.
- Provide clear guidance on retirement benefit procedures, documentation requirements, and Scheme provisions.
- Prepare administrative reports relating to pension operations and member services.
- Monitor workflow to ensure pension cases are processed efficiently without unnecessary delays.
- Support compliance reviews, internal audits, and governance assessments involving pension administration.
- Assist in implementing internal controls that strengthen accountability and safeguard Scheme assets.
- Participate in the preparation of member education materials and retirement awareness initiatives.
- Support planning and coordination of Annual General Meetings, member forums, and stakeholder engagement activities.
- Liaise with finance teams, human resource departments, actuaries, fund managers, custodians, administrators, and other service providers to facilitate efficient Scheme operations.
- Monitor compliance with statutory reporting obligations and internal administrative procedures.
- Maintain confidentiality when handling sensitive pension information and member records.
- Promote high standards of customer service by providing timely, professional, and accurate responses to pension-related enquiries.
- Contribute ideas that improve operational efficiency, record accuracy, service quality, and digital transformation initiatives.
- Perform quality assurance checks on pension records and administrative processes.
- Support continuous improvement initiatives that strengthen governance and operational effectiveness.
- Undertake any other pension administration responsibilities assigned by the Senior Pensions Officer or authorized management.
Qualifications & Requirements
- Applicants should possess a bachelor's degree in actuarial science, Economics, Finance, Business Administration, Management, or another closely related discipline from a recognized institution. Candidates must demonstrate a minimum of four years of practical experience in pension administration, retirement benefits management, employee benefits administration, or a comparable field involving pension operations and member services. Professional certification or specialized training in pension or retirement benefits administration, including the Trustee Development Program Kenya (TDPK), will provide a competitive advantage. An accounting qualification or additional financial management training will also be considered beneficial.
- The successful candidate should possess strong analytical abilities, excellent numerical accuracy, and exceptional attention to detail when processing pension information and financial records. Excellent written and verbal communication skills, sound interpersonal abilities, and a customer

Strong ICT literacy, proficiency in Microsoft Office applications, experience with pension administration systems, records management, data reconciliation, document control, and report preparation are highly desirable. Candidates should be capable of working independently while collaborating effectively within multidisciplinary teams and consistently delivering accurate work within strict deadlines.
